Semester Performance Review

To exit the Intensive English Program at NC State, IEP students must not only meet the academic requirements of the program but also meet the attendance requirements listed on all syllabi. IEP students who have special or unusual circumstances that have prevented them from meeting these standards may request that the IEP staff review their overall academic performance to determine a final outcome for the current semester.

Steps to Request a Semester Performance Review

You must meet the following criteria for your request to be considered for review:

  • Have no lower than a 2.667 GPA
  • Must not have exceeded the IEP attendance
  • Submit the application form by the due

The only documents that will be accepted are those directly related to the details of a student’s situation. Letters and recommendations from friends, family, and roommates will not be considered.

  1. Student must first complete the application form entirely and provide complete written documentation to explain or support this/her request. This form will be sent as a Google Form to all students’ NC State email accounts the same day that final grades are released in Moodle. The application form must be completed and submitted by 12:00 p.m. (noon) on the following day.
  2. The IEP staff will review all requests and determine which petitions have met the requirements stated Those that do not meet the requirements may receive an automatic denial via email.
  3. If a student’s request has met the above criteria, the IEP staff will carefully review his/her written petition and all supporting documentation provided throughout the semester or as part of the review process.
    • The IEP staff uses a combination of the following to determine if a semester performance review is granted or denied:
      • student’s written request submission
      • documented special or unusual circumstances
      • overall performance in all IEP classes
      • overall test and quiz average
      • homework and participation grades
      • participation in the academic coaching program
      • evidence of overall improvement over the course of the semester
      • input from instructors
      • samples of final writing assignments
      • proficiency exam scores (if applicable)
    • Most students will not be required to meet with the IEP staff as part of the review process; however, on the rare occasion that additional documentation or clarification is needed, the student will be notified by email and a meeting time at the IEP building will be scheduled. Students will only be asked to come speak with the IEP staff for special circumstances.
    • IT IS IN YOUR BEST INTEREST TO ATTEND AN IN-PERSON MEETING WHEN REQUESTED. IF YOU ARE NOT ABLE TO ATTEND IN PERSON FOR ANY REASON, THE IEP STAFF WILL MAKE A FINAL DECISION BASED ON THE INFORMATION FROM THE ABOVE FACTORS. NO ONE CAN ATTEND THIS MEETING EXCEPT FOR YOU.
    • During the meeting, students will have a very limited amount of time to share any additional information or explain any unclear details to support his/her case. This is not the time to repeat what has already been submitted in writing.
  4. Students will be notified via their NC State email account of the outcome of their request no earlier than 9:00 AM on the following day.

Important Reminders

Below are listed some important points that each student should clearly understand regarding the semester performance review process. Students should keep these in mind when requesting a review.

  • Most students will not be required to speak or meet with the IEP staff as part of the review process. Therefore, any student submitting a request form should be very careful to explain his/her situation clearly and in his/her own words. Make sure to communicate ALL relevant details that support your appeal. Include references to any documentation provided to the IEP Student Advisor throughout the semester or any documentation provided as part of the request for review process.
  • The minimum GPA a student can have to be eligible for a request for review is a 2.667 because the IEP recognizes that very unusual circumstances may prevent a student from meeting the minimum requirement of a 3.0 GPA.
  • Because most students will not be required to speak or meet with the IEP staff, it is very important for students to submit a well-written request form. For that reason, students have until 12:00 p.m. (noon) the day after grades are made available in Moodle to submit a request form.
  • It is essential to keep the IEP Student Advisor up to date and aware of any unusual situations or circumstances you experience throughout the semester. Do not wait until the review process to bring up these issues for the first time. Examples of unusual circumstances include, but are not limited to, a death in your family, an extended illness, missing a test or major assignment for any reason, car accident, hospital stay, legal matters, etc. In short, if there is any specific reason why you have performed poorly in your IEP classes, schedule an appointment with the IEP Student Advisor to discuss it and make the staff aware of your situation.
